Practice management for independent tutors

You became a tutor to teach. Not to spend ages on admin.

Running your own practice means managing far more than lessons: bookings, cancellations, invoices, payments, parents' questions, paperwork and tax. We bring it all together in one place, so you can spend less time managing your practice and more time teaching.

Your card isn’t charged until the trial ends.

The reality of running a tutoring practice

It's never just the teaching.

Lessons to plan. Parents to update. Invoices to send. Paperwork to keep straight. Running a tutoring practice means juggling dozens of little jobs around the work you love. We bring them together, so the different parts of your practice can work together, too.

Sunday, 9.40pmOn your mind
  • Your teaching weekMy week is hard to keep organised.

Plan around school terms, family availability and the sessions you teach.

Term dates I keep in my head.
Import your council's term dates. Recurring sessions follow them.
    They cancelled. Still charge?
Record the cancellation and notice given, then choose whether to charge.
When can I fit a new student in?
See when families are free and which times fit when you book.
    See planning and scheduling
  • Your moneyI spend too much time sorting out money.

Bring session invoicing, payments and tax estimates together.

    Invoices. Again. On a Sunday.
We add up the month's sessions for you. Review each invoice before sending.
I hate chasing people to pay.
Take card or Direct Debit payments, with reminders for overdue invoices.
How much tax will I pay?
See your estimated tax, what to put aside and when payments are due.
    See invoicing, payments and tax
  • Your familiesParents need me for every little thing.

Give each family a place to find the information they need.

    10pm: “When’s the next session?”
Parents can check upcoming sessions in their own portal.
    This week’s feedback, still unwritten.
Write session feedback after the lesson and share it through the family portal.
    Where’s that invoice?
Invoices stay in the family's portal, ready to view and pay.
    See the family portal
  • Your recordsI need to keep on top of everything.

Keep child information, consent and safeguarding records organised.

    SEND notes, in a spreadsheet?
Keep each child's school, learning profile and notes in their own record.
    Who said yes to photos?
Every consent answer is dated, and families can change their answers.
    Where do safeguarding notes go?
Keep them separate. Only you can open them, and each opening is logged.

Planning & scheduling

A calendar that understands your week.

Your diary isn't just a collection of appointments. It has to work around school terms, half-terms, bank holidays, your own time off and the times families can actually make.

We bring those details together. Import your local council's term dates, set your teaching hours and let recurring sessions follow the school year. When you need to book a new child, see which times are genuinely available and which ones work for the family.

If plans change, you can see which sessions are affected before changing anything.

At the end of the month, you shouldn't have to reconstruct every lesson to work out what each family owes.

Earnings & tax

You know what you earn.Do you know what you can keep?

When you're self-employed, the money coming into your account isn't necessarily money you can spend.

We estimate your tax from your recorded earnings, costs and expected income for the tax year. See how much to put aside, how your estimated bill is worked out and when HMRC expects payment.

You can record the money you've saved towards tax, track costs and mileage, and get a summary for your accountant. If you file your own return, there's also a step-by-step guide to help you work through the figures.

Tax figures are estimates, not financial advice. Your actual tax liability may differ.

The family portal

Give parents the information they need.Without another message to you.

Parents want to know when their child's next lesson is, how they're getting on and whether an invoice has been paid.

Give every family a private portal where they can see their own children's sessions, read your feedback, access documents, manage consent and pay invoices.

They sign in with an emailed link rather than another password to remember. Each family sees only its own information, so records stay separate.

Everything they need, in one place.

Their next sessions, your feedback, invoices and documents are all there when they sign in. Anything needing their attention comes first.

Records, paperwork & safeguarding

The right information, in the right place.

When you work with children, keeping good records matters. But important information can easily end up spread across spreadsheets, forms, folders and email conversations.

We give every child a record for their learning profile, subjects, school details, attendance and documents. Keep safeguarding notes separate from ordinary notes, with access restricted and each view logged.

Record consent for photographs, testimonials and medical information, with a history of each decision. When consent is withdrawn, we flag the follow-up actions that need your attention.

01 of 02

A record for every child.

Keep each child's school details, learning profile, notes and tags together. Safeguarding notes stay separate, with every opening logged.

Designed around sensitive information

Family access is separated, documents are served through access-controlled pages, and you can export a family's records. Two-step sign-in helps protect tutor accounts.

Safeguarding notes, kept separate.

Safeguarding notes sit apart from the rest of a child's record. Every time you open one, your name, the date and time are logged in a record that can't be edited.

Every family has its own view.

Parents see only their own children's sessions and invoices. They won't see other families' names anywhere in their portal.

Consent you can trace.

Each consent answer is kept with its date. If a family withdraws consent, we flag anything already published that needs taking down.

An extra step to sign in.

Signing in to your practice takes both your password and a code from an authenticator app.

Fewer connections to other servers.

Family pages load no outside fonts, images or trackers. The exception is Stripe, which provides the card payment form.

Export a family's records.

Export an individual family's records when they ask. If your subscription payment lapses, your practice is locked, not deleted, and reopens when payment goes through.

Write it once. Keep the process moving.

Invoice emails, payment reminders, first-session paperwork and follow-ups often contain the same information. In Lucy Learn, you can write your own templates, preview them with the family's details filled in, and choose which emails send automatically and which wait for your approval.

Session plans show your previous plan for the same children beside the new one. Attendance can be recorded on your phone in a couple of taps. The help centre has a guide for every screen, many with an animated demonstration.
